DIPENDABLE GUYS · CUSTOMER INFORMATION

Privacy Policy

Your estimate starts a conversation with our shop. It does not enroll you in marketing.

Effective and last updated: October 15, 2026

Who this policy covers

Dipendable Guys operates the main Dipendable Guys website, this estimator, the customer job-progress service, and the shop workspace. This policy covers information collected through those services, including the assistant linked from the main website. It does not describe all personnel records or other offline business records. External sites you choose to visit, including maps, reviews, and social media, have their own policies.

We use contact details to communicate about your estimate and services you ask us to provide, and, when email sign-in is available, to verify access to your job-progress page using a one-time email code. We do not use information submitted here for unrelated marketing, sell it, or share it for cross-context behavioral advertising.

Information we collect and why

This is our notice at collection. You can view an initial estimate without entering your name, email, or phone number. As you use the estimator and when you send a request, we collect the information below; notes and photos are optional.

Contact details and permission
Your name, email, phone number, preferred contact method, and permission to contact you. We use these to respond, coordinate requested work, keep a record of the request, and send one-time sign-in codes when email verification is available. Verification records include a protected code value, expiry, attempt counts, and delivery status; codes are not used for marketing.
Vehicle, estimate, and job information
Vehicle year, make, model, trim and type; requested service, condition, color or film, timing, notes, estimates, proposals, approvals, and job updates. These help us prepare your quote, carry out requested services, and show your progress. Staff may add information during the job.
Optional photos
Images you upload, their filenames, and related file information such as size and upload time. We use them to understand the vehicle and requested work. Staff may add progress photos, and only photos selected for customer viewing appear on your job page. Photos and artwork are used to evaluate and perform your project, not automatically added to a public gallery. We ask for separate permission before using customer submissions in public marketing. Please leave out people, documents, or other personal information that is not needed.
Website and security information
Necessary session cookies, request times, limited source or campaign labels from the link you used, and temporary identifiers derived from your network address to limit abuse. Hosting providers may also process IP addresses, device or browser information, and request logs to deliver and protect the service. Source labels tell us where a request came from; we do not use them to build advertising profiles or enroll you in marketing.
Privacy requests
When you ask to access, correct, or delete information, we record the request, verification method, relevant job reference, review notes, response, and any required retention reason. These records help us handle and document the request. Please do not send passwords or identity documents unless a suitable verification method has been arranged.
Shop workspace accounts and activity
For staff using the workspace, we process account names, usernames, roles, protected password values, assignments, work reports, work dates, review history, and compensation amounts recorded by authorized managers. We use these for access control, job administration, and work records. This section describes the online workspace; the shop must separately provide any required employment notices.
Optional AI questions and estimate inputs
If you use the assistant, your question, recent chat context, and selected vehicle or service information are processed to answer you. Preliminary pricing research may also use limited vehicle and service information. See the AI section below before entering a message.

We obtain this information from you, from staff working on your request, and from the website or its providers as you use it. We do not request payment-card details, government identification numbers, health information, or precise device location in this form.

Retention: online contact, project, and photo records expire three calendar months after the quote or job is created, even if work is unfinished. Completion, updates, or archiving do not restart the clock. Separate shop paper records, employee pay records, privacy-request administration, and technical records follow the criteria described under How long we keep information. These categories are not sold or shared for targeted advertising.

Who can receive information

Authorized shop staff can access customer requests and intake photos to perform their work. Access differs by role; ordinary employee work views do not include customer contact details. Your customer job page shows your project and published updates, rather than the shop’s internal notes or other customers’ records.

Service providers process information needed to operate the website, hosting, storage, authentication, and security. This service runs on Sites hosting with Cloudflare infrastructure; optional AI features use OpenAI. When email sign-in is enabled, Resend processes the recipient email address, one-time code email, and delivery information to deliver that code. Email sign-in may be unavailable during setup, a delivery interruption, or when a usage limit is reached. Customers can still request quotes and contact the shop for updates. These operational disclosures are different from selling information or sharing it for advertising. Providers may process necessary technical data under their applicable service terms and privacy practices.

We may also disclose information when required by law or a valid legal process, or as reasonably necessary to protect customers, the business, and the service against fraud or security threats. We do not provide quote contact details to Inozetek. Swatch images are served by this site; following an external product link takes you to that company’s website.

AI features

The estimator does not send the contact form’s name, email, phone, customer notes, uploaded photos, or job-access credentials to AI. Pricing research sends limited vehicle and service details and may use web search. A staff member confirms any final quote.

Quick answers use approved text and do not call AI. Other assistant questions may send what you type, recent conversation context, and relevant vehicle or service details to OpenAI. Do not put contact details, private job information, passwords, or payment information into chat. We do not save assistant transcripts in the shop’s job database. Provider processing and security retention can still apply; this is not a promise of zero retention by the provider.

Cookies, tracking, and privacy signals

The app uses necessary cookies to keep authorized staff and customers signed in. Customer session cookies expire after seven days unless cleared or invalidated earlier. Shop staff, employee, owner, and administrator sessions expire after five minutes without activity in the workspace. Keyboard, pointer, touch, and wheel activity can renew an unexpired shop session; background updates and simply leaving a page open do not. Workspace tabs in the same browser share that sign-in. Customer sign-in requires a one-time email code when that service is configured; a job number and contact details alone do not grant access. Blocking these cookies may prevent sign-in or job tracking. The assistant uses a separate necessary cookie that expires after 24 hours to limit paid replies across tabs. It is not used for advertising. Blocking it prevents paid AI replies; quick answers and quote requests remain available. The hosting platform may use separate cookies for its own access controls.

This app does not include advertising pixels or cross-site analytics trackers, and we do not knowingly allow third parties to collect information through it for tracking your activity across unrelated websites for advertising. Our no-sale and no-advertising-sharing practices apply whether or not a browser sends a Do Not Track or Global Privacy Control signal. These signals do not turn off necessary service or security processing.

How long we keep information

Three months from creation: every online quote request and shop-created job has a three-calendar-month retention period, including unfinished and archived jobs. Completing a job, changing its status, or adding notes or photos does not extend the original deadline. The job page displays the deadline. Save any quote, authorization, or photos you need before then; staff must keep required shop records separately before the deadline.

At the deadline, access to the expired job and its files ends. Automatic cleanup removes customer contact details, vehicle and project details, estimates, authorization copies, messages, notes, uploaded artwork, intake photos, and progress photos from the app’s active storage. Cleanup runs through an hourly background task, with additional cleanup when the service is used. Permanent removal normally happens on the next successful cleanup run after the deadline. A backlog or service or storage interruption can delay removal; expired information remains unavailable while cleanup is retried.

The shop keeps its official paperwork separately. Deletion from this website does not delete paper records or copies already lawfully saved by the shop or a customer. A limited workforce ledger is kept for employee work and pay administration, including employee identities, work dates, amounts, and approval status. This retained ledger does not keep the deleted customer’s contact details, vehicle description, job reference, or free-text job notes. Limited deletion and privacy-request administration records may also remain; linked customer references and free-text request details are removed when the job is deleted. These records are separate from the customer job page and are not available through customer sign-in.

Session access expires as described above and cannot reopen an expired job. Sign-in email codes expire after 10 minutes and allow at most five attempts. The protected code value is cleared when used. Job cleanup clears the related email identifiers and protected code values. Delivery counters without those identifiers or usable codes remain until 40 days after the code request to enforce the free email allowance; the next cleanup run removes them. Other verification and delivery-control records become eligible for cleanup after 40 days and are removed when the service next processes a matching email request, so they can remain longer during inactivity. A cleanup interruption can also delay removal of eligible counters. App abuse-limiting counters use short time windows and are periodically cleared after expiry. Resend separately retains sign-in email content and delivery logs for 30 days under its current retention policy, with backups retained for seven days. A retained email does not extend the code’s 10-minute validity or restore access to an expired job.

We also keep assistant usage records containing a hashed visitor identifier, request times, token counts when available, and reserved or used costs to enforce spending limits and investigate abuse. These records contain no chat transcripts or raw network addresses; they do not currently have an automatic deletion deadline. AI pricing research can be cached for reuse; it does not contain the contact form’s personal details. Hosting logs and provider backup copies follow their providers’ operational and recovery schedules. The job deadline does not promise simultaneous erasure from every provider backup.

Archiving a job hides it from operational screens and ends customer access, but does not erase it immediately or postpone its deadline. You can request earlier deletion or ask about separate shop records by calling us. An authorized manager reviews the request, any applicable recordkeeping duties, and relevant service-provider copies, and explains any information that must be kept.

Your choices and privacy requests

Call 949.307.1818 and ask for a privacy request to access your information, correct an error, request a copy, ask for deletion, or stop further optional contact. You may also ask staff about privacy in person. You do not need to create an account to make a request. We will ask for enough information to verify your identity and locate the record, without requesting unnecessary sensitive documents.

Depending on where you live and which laws apply to the business, you may have rights to know or access the personal information held about you, receive a portable copy, correct it, delete it, or limit certain uses. Some laws also provide rights to opt out of sale, targeted-advertising sharing, or certain profiling, and to limit certain uses of sensitive information. This estimator does not engage in those sale, advertising, or profiling activities or use the form for those sensitive-information purposes.

Where applicable, an authorized agent may act on your behalf after we verify their authority. We will respond within the time required by applicable law, explain any permitted exception or denial, and provide an available appeal process. To appeal, call the same number and ask for a manager to review the privacy decision. We do not discriminate against you for exercising privacy rights. We may need to retain certain records or contact you about an active service or a legal obligation.

For California residents, the California Consumer Privacy Act and California Privacy Rights Act provide additional rights when the business is covered by those laws. Coverage depends on statutory business thresholds and other conditions. The California Privacy Protection Agency provides information about these rights and complaint options.

Children’s information

This service is intended for vehicle owners and people arranging automotive services; it is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, call us so we can review and address it.

Security and changes to this policy

Read our Data Storage & Security page for the safeguards used by this app and its storage providers. No website or storage system can guarantee complete security.

We will post an updated date when this policy changes. For a material change, we will add a prominent notice to the affected website or service and, when appropriate or required, notify affected customers directly before a new use begins. We will obtain additional consent where required. A policy update by itself does not enroll existing quote customers in marketing.
